Subject: [sv-bc] Process and schedule for final LRM review and vote

Greetings,

Draft 5 of the LRM should be available to the committees by noon today
(pacific time).

The SV chairs met this morning and agreed upon the following actions and
schedule.

Draft 5 Review

When Draft 5 is available the following steps will then occur

* Surrendra and I will review all of the changes to make sure that the
final correction are complete (this will be the second pass since we have
already done one review which generated some corrections to the edits).
* I will open LRM issues for any errata found during Surrendra and my
check.
* I will open LRM issues on all "Editor's notes" found in the LRM (if
any).
* I will then contact each of the committees experts to ask for
resolution of the Editor's notes (or confirmation) and create change notices
as required.

I addition, please follow the guidelines I sent out earlier (copied below).
All changes must be in my hands and posted on the web site by April 22. Any
that come in after 5:00 pm (pacific) on April 22 will not make it into the
final LRM.

Being that the only changes that go into Draft 5 are ones that absolutely
must happen I am requesting that the process be tightened up by submitting
changes with the following information:

* Section Number the change is being made in
* Page Number in the latest draft that includes the change
* The original text of the material being changed including at least
the entire paragraph or the preceding and succeeding lines (if the change is
to a single line).
* The changed text
* Email (or phone call) from "expert" agreeing to the change

The original and changed text can be combined if color and strikeout is
used.

I will not be "pruning" through pages of issues/questions to find the
changes for this next round. Any change that does not come in the above
format will be returned.

The result of this review will become Draft 6. A clean copy of Draft 6 will
be sent to the board. A markup copy will be sent to the committees.

Voting Process

The voting for sending the LRM to the board for approval must be complete by
24 April (Thursday) at 5:00 pm (pacific). Each committee will decide on
whether the vote is done by meeting or by email. The guidelines for the
voting are:

* All participants should vote by company (even non-eligible companies
due to attendance or not being Accellera members). This is desired to make
sure that all participant companies have a voice.
* The vote will be approved if 2/3s of the eligible companies vote and
approve.
* Each committee votes only on the work they have done (sections of
the LRM or content to sections) as a single vote that indicates the
committees work is to be sent to the board for acceptance.

The votes will be tallied on Friday. The intent is to send the LRM to the
board on 27 April with the board voting on the LRM on 28 May.

Regards
David
